What We Collect

We only collect what you choose to send us.

• Contact form: your name, your email address and your message. The form also records whether you were using the English or Chinese version of the site, so we can reply in the right language.
• WhatsApp: when you tap a WhatsApp button, WhatsApp opens with a short message already written, which may name the home or room you were looking at. Nothing reaches us until you press send. If you do, we can see your WhatsApp phone number, your profile name and your message.
• Visiting this website: we do not use cookies, analytics or advertising trackers. Our website host keeps standard server records, such as your IP address, the pages requested and your browser type, to keep the site secure and working. Pages that show a map load it from OpenStreetMap, which means your IP address is shared with OpenStreetMap.

Who Can See It

Only our team members who deal with enquiries can see what you send us. [Confirm: where we keep enquiry details, for example email, WhatsApp Business or a spreadsheet.]

Some companies handle data for us so that the service works:

• Vercel hosts this website.
• [Resend, an email delivery service, sends contact form enquiries to our team inbox. Confirm once the form is switched on.]
• WhatsApp, which is run by Meta, delivers the messages you send us on WhatsApp, under its own terms.

[We share your details with a property owner or partner organisation only if you ask us to, or if it is needed to arrange a tenancy with you.]

We may also share information if the law requires us to.

How Long We Keep It

• Contact form and WhatsApp enquiries: [12 months] after your last message to us. If you become a resident, property owner or partner, we keep what we need for as long as that relationship lasts, and for as long as the law requires afterwards.
• Website server records: for a short period set by our website host [confirm number of days].

Access, Correction and Deletion

You can ask us to show you the personal data we hold about you, to correct it, or to delete it. You can also withdraw your consent to us using it.

Email admin@lavish-haven.com and tell us what you would like. We may ask you to confirm who you are first. We aim to reply [within 30 days]. If the law means we have to keep something, we will tell you what and why.

Our Operations System and Google Drive

We use an internal operations system to manage our homes and tenancies. It is for our staff only and is separate from this website.

It connects to Google Drive for one purpose: to save a backup copy of tenancy inspection reports (as PDFs) and the photos taken at move in and move out. They are saved in folders by property and tenant, in a Google Drive account owned by Lavish Haven [confirm: company Google account].

• Only our staff can access these files.
• We never sell them, and we never share them for advertising.
• We ask Google for the narrowest permission available, called drive.file. It lets our system see only the files and folders it creates itself. It cannot see or open anything else in the Drive.

The same reports and photos are also held in our operations system’s secure database. We keep them for [X years after the tenancy ends]. Tenants can ask to see or delete their records in the same way as above.

Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

If we change this policy, we will update the date at the top of this page.
